Admin. Dashboard Re-design: Process


OVERVIEW:                   
EasyPaint is a platform is used to source, hire and pay trustworthy, professional paint crews for paint jobs. 
Project duration: 2-weeks
Our client, EasyPaint wanted a re-design of their internal employee administration dashboard.  Features/functions/pages were outdated and didn’t work well together. The redesign needed to include a variety of important, and easy to view, data points (KPI’s, metrics, ect.), along with a new way to manage paint crews, documents, certifications, contracts and licenses.
CHALLENGE:
EasyPaint wanted a redesign of their Internal Employee Administration Dashboard.

SOLUTION:
By integrating a pipedrive tool into EasyPaint's employee workflow, employees’ daily/working lives became simpler, more pleasant and more productive.

The Internal Employee Admin dashboard performance improved and business efficiency increased, saving employees time, encouraging continued utilization of the Admin dashboard and saving EasyPaint money as well. 

BENEFITS:
Employees use the Admin dashboard instead of the constantly broken Google spreadsheet, which helps them communicate and do their jobs better.

PROJECT GOALS:

Increase the usability of the current Admin Dashboard, getting employees to use quote requests page, as opposed to Google docs spreadsheet

Sales tracking, project/file management and technical/usability improvements, especially on Paint crews dashboard page

TEAM GOALS:
Our goal was to address our client’s request, while challenging all underlying assumptions, every step of the way.  

APPROACH:
Our working approach was to minimize surprises, by continuously keep our client updated (bi-weekly), at all stages of the project lifecycle. 

We tailored our approach, by asking each EasyPaint employee what they presently wanted from EasyPaint and also what they want from EasyPaint in the future.  We felt this would lead us to fresh new ideas and help us to develop a comprehensive and unbiased solution. To figure out what employees need to make their jobs/lives easier by finding out the “how's”  and “why's” of EasyPaint employee dashboard usage.

We presented the workflow example above, to show our client how similar/easy Pipedrive would be to implement into their workflow (he was already a religious "Trello" user and the "Pipedrive" interface is very similar to "Trello's").

CONCLUSION:
By taking a step back to see how all the elements of our research/work connected with one another, it enabled us to conceptualize and present a comprehensive plan, delivering a solution that exceeded our client's (Easypaint) expectations. 

We created a more streamlined workflow process for employees, in order to collect/create/update/send out information and documents more efficiently, which helped them complete projects/proposals faster, saving the company an estimated $720,000 in potential sales per year.

PROJECT ARTIFACTS: 
Heuristic Evaluation: Annotated screenshots of dashboard UI design, identifying interface usability problems and compliance with recognized usability principles/UX design best practices       
Trello board: Compiled all typed/written notes/findings from user research/interviews into an excel doc, made a Trello board with separate cards for each issue/pain point and grouped each one under a common theme(s) we saw.  We then narrowed the 10 or so themes, down to just the 5 categories/depts. commonly used in businesses evaluations and/or seemed to be affecting the company/business processes most.  Lastly, each issue/pain point was color coated by severity (red- most severe, yellow and green- least severe), under one of the 5 categories.

Product Roadmap: Proposed product/employee schedule for the next month and a half, learning/integrating the Pipedrive tool (and NiftyQuoter tool to possibly integrate in future as well, their current quote creation tool isn't working well after Pipedrive tool is integrated)
